KISS means “Keep It Simple, Stupid” and it was coined by the U.S. Navy in 1960. It basically means that things work better if they are kept simple, just like this article. No guff, just simple straightforward tips.
When you keep your writing simple you keep the reader’s attention much longer. Think of it as a subject that you are not interested in but want to learn more about. If that subject throws a lot of heavy words and endless explanations your way you are soon going to lose interest and abandon the subject altogether, right? This is exactly where the KISS principle comes in, keep your business writing simple and understandable.
2. Identify The Why & Whom – Before you start writing, always make sure that you identify why and for whom you are writing. This will help tremendously when you try to find a good pace and a simple way of laying out your writing. Disregarding this will, in most cases, make your writing dull and a bit off topic, each never a good things if you are trying to gain someone’s attention.
3. Don’t Use Too Much Business Speak – Yes, it’s a good idea to learn the lingo or the business speak if you will, but always be cautious about using too much of it in your business writing. Too much and you will come across as boring and people will lose interest. Stay within the area of usefulness and again always apply tip number one in this article, the KISS principle.
4. Proofread, Proofread, Proofread – Before you are done always make sure you proofread your writing. Don’t just do it once! Why? Because you are bound to find things you want to change in the first round of proofreading. After having changed the errors that you’ve made you might have messed up other bits and bobs in your writing. Once you have made sure this is not the case after your second proofreading session, always give it a third proofread. This time, read it out loud to yourself to hear what it all sounds like. Often times, reading it out loud makes it sound a whole lot different than what it sounds like in your head.
5. Include Contact Information – This might seem like a given, however, you would be surprised to know just how many people forget to include this when they are done writing. A bit of a pro tip for you is to also include the best times when you can be reached. This will significantly increase the response rate and you will also be able to better organize your own schedule as emails and correspondence will come in at a time when you are available.
Mastering these 5 tips will have a tremendous effect on your business writing. People will find your correspondence more unique, interesting and useful and will try to reply to you much more often as they know they will always get something useful back.
